Why We Request Card Details
We ask patients to provide credit or debit card details as part of our standard payment process. This allows us to manage payments smoothly and ensures that any charges not covered by insurance, third parties, or funding arrangements can be settled in line with our Terms and Conditions.
This policy applies to all Private Patients. Card details are only stored once patient consent has been confirmed.
How We Protect Your Card Information
Your security is very important to us. All card payments are handled in line with Payment Card Industry Data Security Standards (PCI DSS), which are designed to protect cardholders against fraud.
When your card is processed, your card number is converted into a secure token. This token is stored in our systems, rather than your actual card number.
- Tokenisation replaces sensitive card data with non-sensitive reference data
- Your full card details are never visible to staff
- Card data is stored in a secure, PCI DSS–compliant environment
For your convenience, the card details may be held for up to 12 months. This allows us to process future payments or refunds efficiently. If your treatment continues beyond 12 months, you will be asked to provide your card details again. Patients can withdraw their consent at any time.
When Will My Card Be Charged?
Your card details will only be used in the circumstances set out in our Private Patients Terms and Conditions. We will never take payment without telling you first.

What you can expect:
- Advance notice: If charges are due, we will send you an invoice by letter, email, or text message at least 10 days before charging your card
- No unexpected charges: You will always be informed before your card is used
- Receipts: Patients receive an automatic receipt via email.
If You Have Private Medical Insurance
If you are insured, it is your responsibility to:
- Check that your policy provides adequate cover for your treatment
- Provide us with your insurer’s pre-authorisation code for all services and treatments
Some policies include an excess or exclude certain charges. For this reason, we request card details as a backup payment method in case any balance is not settled by your insurer or a third party.
